The Program Committee is committed to presenting the broadest possible range of high quality work from the membership at the 2004 PAS Annual Meeting. We would like both the absolute number of abstracts presented, and the percentage accepted, to grow. To achieve these goals while preserving the quality of the Meeting, we ask members sponsoring each abstract to pay close attention to the abstract content. Historically, abstracts accepted for presentation are hypothesis-driven new work. Abstracts rarely accepted for presentation include single case reports, open label drug trials, highly speculative accounts of clinical experience, and op-ed accounts of personal experience. Interim results from an ongoing clinical trial will not be accepted for presentation unless the study has been prematurely closed for efficacy, lack of efficacy, or issues of safety. The submission of multiple, similar abstracts from the same investigator(s) or laboratory are strongly discouraged.

The member sponsoring each abstract is the first and most important part of the review and selection process. Please contribute to the meeting quality and do not sponsor an abstract you would not like to see on the program.
 

ABSTRACT SELECTION PROCESS

Abstracts of superior quality will be selected by the PAS Program Committee for presentation at the Meeting in San Francisco, California. Abstracts will be graded based on quality, scientific merit/importance, and quality of research, design and data analysis and the quality of presentation. The submission of abstracts without data because investigations or analyses are incomplete and will be evaluated only on the basis of the information contained in the abstract.

Designation of a Theme Choice and the listing of key words are essential for the program committee to determine/select abstracts that can be grouped for presentation in poster symposia and other thematic sessions. Choice of abstracts for these thematic sessions is the very first step in the development of the program, and these sessions often include the most highly rated abstracts. Therefore, it is in your interest to designate a theme whenever possible. Key words will be used as the second step in development of the program to encourage groups of abstracts for presentation among those authors with similar scientific or clinical interests, regardless of subspecialty. Subspecialty topic designation will be the last criterion used in the program development. 
 

AWARD CONSIDERATION AND SELECTION

The American Pediatric Society, Society for Pediatric Research, Ambulatory Pediatric Association, and American Society of Pediatric Hematology/Oncology seek nominations for awards through the abstract submission process. Information regarding the awards for 2004, their eligibility criteria, and the award process can be in the Awards section.

Please review these criteria and apply for any award for which you believe you are eligible and would like to be considered. Only abstracts accepted for presentation are considered for awards.

Application for an award involves submitting an abstract, checking the appropriate box in the "Questionnaire" part of the submission program, completing the Award Application Form for the respective award, and including the required supplemental materials (as indicated in the award information and on the Application Form).

While you are welcome to apply for more than one award, an Award Application Form is required for EACH award for which you have indicated an interest (by checking the box in the "Questionnaire").
 

TRAVEL GRANTS 

The Society for Pediatric Research and American Pediatric Society will award travel grants in the amount of $500 plus complimentary meeting registration to attend the 2004 PAS Annual Meeting. Travel grants are possible to at least fifteen runner-ups among the SPR House Officer and Fellow Basic and Clinical and Richard D. Rowe Award categories. To be considered for a travel award, check the appropriate box in the "Questionnaire" part of the submission program and on the Award Application Form. (Only candidates submitting to the SPR House Officer and Fellow Basic and Fellow Clinical and Richard D. Rowe award categories will be considered.)
 

PRESENTATION FORMATS

The Program Committee determines the appropriate format for presentation (platform, poster, or poster symposium). Platform sessions will be 2 hours and will consist of 15-minute presentations (10 minutes for the presentation; 5 minutes for discussion). Poster symposia will be 2 hours and include both a poster with a viewing period and a formal presentation or discussion period. The session moderators determine formats for formal presentation or discussion. Poster sessions will be 2-3 hours. Detailed instructions for the preparation of slides and posters as well as scheduling notices will be mailed to the contact person in advance of the Meeting. Platform, poster symposia, and poster guidelines will also be available on this website. The complete schedule of all abstract presentations will be finalized by mid February 2004.
 

PUBLICATION OF ABSTRACTS

ALL abstracts submitted for consideration to the PAS Annual Meeting will be published in the 2004 Pediatric Research - Program/Proceedings (April issue) regardless of presentation status. The journal will be issued to Pediatric Research subscribers. Other registrants can purchase the proceedings through registration for the PAS Annual Meeting.

Hematology/Oncology Abstracts: All abstracts submitted to the Hematology or Oncology subspecialties for consideration by the program committee will be published in the 2004 April issue of the Pediatric Blood and Cancer, regardless of presentation status. The journal is sent to Pediatric Blood and Cancer subscribers and to members of the American Society of Pediatric Hematology/Oncology (ASPH/O). All registrants for the ASPH/O meeting will receive a copy of the abstract issue of Pediatric Blood and Cancer as part of their registration materials.

 

Deadline for receipt of all abstract submissions is
December 5, 2003, 11:59 PM CST.

The deadline for submission of abstracts is absolute. Late submissions will not be accepted for consideration in regular program planning. The signed copy, payment, and other supplemental materials must be received by December 9, 2003.

 
GENERAL POLICIES

  • Electronic Submission Deadline is December 5, 2003, 11:59 PM CST  
  • A fee of $50.00 is required for each abstract submitted to the PAS Annual Meeting (additional fees are necessary if also submitting to the Eastern Society for Pediatric Research Annual Meeting).
  • Only abstracts submitted using the OFFICIAL submission program will be accepted.
  • All abstracts should be submitted in a structured format.
  • All abstracts must be sponsored (and signed) by a member of one of the sponsoring organizations for the 2004 Meeting (APS, SPR, or APA) and submitted using the 2004 OFFICIAL submission program. The sponsoring member must be in good standing (dues current) or the abstract will not be considered. The sponsor does not have to be an author.
    Of Special note:  
    • Members of the American Society of Pediatric Hematology/Oncology (ASPH/O) may sponsor abstracts when submitted to the Hematology or Oncology subspecialties.
    • Members of the American Society for Pediatric Nephrology (ASPN) may sponsor abstracts when submitted to the nephrology subspecialty.
    • Members of the Lawson Wilkins Pediatric Endocrine Society (LWPES) may sponsor abstracts when submitted to the endocrinology (basic or clinical) subspecialties.
    • Members of the Pediatric Infectious Diseases Society (PIDS) may sponsor abstracts when submitted to the infectious diseases subspecialty.
    • Global Pediatric Research Theme Submitters: Sponsorship will be arranged if you are not a member of APS, SPR or APA.
  • There is no limit on the number of abstracts submitted by each member or sponsor, but the submission of multiple, similar abstracts from the same investigator(s) or laboratory is strongly discouraged.
  • Abstracts submitted or presented to other societies or national meetings can be submitted for consideration for the PAS Meeting.
  • Research published in manuscript form prior to the submission of the abstract is not appropriate and should not be submitted. In addition, if the authors know that the research will be published in manuscript form prior to the Annual Meeting, the abstract should not be submitted. If data contained in the abstract is published after submission of the abstract, the Central Office must be notified regardless of timing as soon as publication is recognized. At that time a member of the program committee will make a determination concerning presentation.
  • Conflict of Interest/Disclosure: Work submitted for presentation must include an acknowledgment of funding sources of commercial nature and/or consulting or holding of significant equity in a company that could be affected by the results of the study. The intent of this policy is not to prevent a speaker with a potential conflict of interest from making a presentation. It is merely intended that any potential conflict should be identified openly so that the listeners may form their own judgments about the presentation with the full disclosure of the facts. Even if indicated elsewhere in the abstract, this must appear as the last sentence of the abstract and read "funded by..." and/or "equity in..." if pertinent. (See Step 4 - Disclosure Info.)
  • The first author must sign the abstract and attest that all authors have approved the submission of the work for presentation.
  • Any animal studies must conform with the "Guiding Principles in the Care and Use of Animals" of the American Physiological Society and any human experimentation has been conducted according to a protocol approved by the institutional committee on ethics of human investigation. And, if no such committee exists, that it conforms with the principles of the Declaration of Helsinki of the World Medical Association (Clinical Research 14:193, 1966).
  • If the abstract is selected, the presentation must include the methods used for study and any other information relevant to research.
     

ABSTRACT SUBMISSION FEE

The $50.00 per abstract payment (and additional fees if also submitting the abstract to the Eastern Society for Pediatric Research Annual Meeting) can be made directly online or by printing a special payment form. The Official Electronic Printed Abstract and the Payment Form can be printed and signed after submitting the abstract. The signed copy, payment and supplemental materials must be received by December 9, 2003.
 

NOTIFICATION OF RECEIPT AND ACCEPTANCE

Notification of receipt will be e-mailed to the contact author within 2 business days of abstract receipt. NOTE: It is your responsibility to contact Marathon Multimedia (contact information below) if you do not receive confirmation of abstract receipt within 2 business days. They will be able to confirm receipt of your abstract or will assist you to ensure that your abstract is received.

IMPORTANT

  • Electronic abstracts must be submitted by December 5, 2003, 11:59 PM, Central Standard Time.
  • You must print, and return a copy of the Official Electronic Abstract Printout and the payment form (if not paid online) by December 9, 2003.
  • The official abstract printout must include the signature of both the sponsor and first author.
  • If you wish the abstract to be considered for an award, the supplemental materials [including the Award Application Form(s)] must be submitted with the signed official printout you send by December 9.

If you submit your file electronically and are using a credit card for payment, you may fax in the signed Official Electronic Abstract Printout. If you fax copies, please test to make sure that your fax machine is in good working order and can send a legible copy of your abstract.

NOTE Regarding Figures: If your abstract contains a figure, you must send a clean black and white copy of the figure for inclusion in the Abstract Book.
