Exhibitor Registration
For the 2009 PAS Annual Meeting &
Exposition, you will again register your
personnel online at the PAS website, at the
Exhibitor Registration page. If you have any
questions, please contact PAS Exposition Manager

ensure you do not exceed the allotted number of
exhibitor representatives, please also contact
Eva or Marge in the event of a cancellation. The
deadline for Advance Exhibitor Registration is
April 1, 2009.
Exhibitor Housing
To take advantage of the special
rates negotiated at the PAS official hotels for
the 2009 PAS Annual Meeting, your reservations
must be made through the official Housing
Bureau. Make reservations
online
(no access code required), or by mail, fax or phone.
Further information will be mailed with your
booth assignment. As rooms will be assigned on a
first-come, first-served basis from a protected
block of rooms, you are strongly encouraged to
make housing arrangements soon after receiving
the information. If your company is requesting a
room block of five or more rooms, a group block
must be requested through the Housing Bureau by
contacting the PAS Exhibitor Housing Coordinator
via email at
conventionhousing@baltimore.org or by fax at
410-659-8398.
Companies who make reservations for nine rooms
or less will receive two priority points.
Companies with ten or more rooms will receive
two priority points for the first nine people,
plus one point for each additional ten people
booked at any of the PAS official hotels. All
reservations must be made through the official
Housing Bureau.
Exhibitors and their agents are not permitted to
negotiate blocks of rooms directly with any
official PAS hotel. These violations impede
PAS’s ability to obtain adequate space.
Although most hotels are within walking distance
of the Baltimore Convention Center, the PAS has
arranged convenient shuttle bus service between
the Baltimore Convention Center and some of the PAS
official hotels.
General Information
Housing reservations for the 2009
PAS Annual Meeting are now available through the
PAS Housing Bureau online. Access is available
24 hours a day/7 days a week, and you will
receive immediate confirmation. A special block
has been set aside specifically for Exhibitors.
Simply click the “Online Exhibitor Housing”
button above,
and you’re on your way to reserving your hotel room(s)
at one of the official hotels contracted for the
2009 PAS Annual Meeting. Although you are
strongly encouraged to make your hotel
reservations online, you also have the option to
download the Exhibitor Housing Reservation Form
and fax or mail the completed form (see
instructions on the form), or you can make your
reservations by phone. Simply call the PAS
Housing Bureau, 8:30am-5:30pm ET,
Monday-Friday, at 800-282-6632 (toll free US and
Canada) or 410-837-4636 (International) and
state that you want to make a reservation in the
“Exhibitor Housing Block” for the 2009 PAS
Annual Meeting. Please note that if the number
of rooms you need to secure is greater than
five, you will need to contact the PAS Exhibitor
Housing Coordinator via email at:
conventionhousing@baltimore.org or by fax at
410-659-8398.

You are strongly encouraged to secure your hotel
accommodations as soon as possible, as housing
is expected to fill up quickly. To take
advantage of the PAS convention rates, be sure
to book your reservations by Thursday, March 5,
2009. After this date, the official PAS
Exhibitor Block will be released, and hotels may
charge significantly higher rates.
Deposits and
Cancellation:
All hotels require a credit card
guarantee or check deposit of US $225 per
standard room
reservations ($450 1br suite/$675 2br suite). Deposits are required for
all reservations at the time of booking. No
reservations will be made without a form of
payment. Major
credit cards (American Express, MasterCard, Visa
and Discover) are accepted. Deadline for
cancellations for a full refund is April 6.
Cancellations after April 6 are subject to a $50
processing fee. Please check your
acknowledgement for your hotel’s complete
cancellation policy. Failure to check in on your
scheduled arrival date will result in FORFEITURE
of deposit(s) paid.
Confirmations:
Confirmations are provided by the PAS Housing
Bureau and are available via
email, fax or mail. Confirmations will be
e-mailed when e-mail addresses are provided
unless otherwise indicated. All processing
deadlines and cancellation policies are noted on
the Confirmations.
Changes: Changes can be made
through the PAS Housing Bureau via telephone, fax,
mail or email at
conventionhousing@baltimore.org up until April 23, 2009, 5:30pm ET.
