Please have the following information available
prior to calling for reservations:
- Name of Convention (Pediatric Academic
Societies)
- 1st, 2nd and 3rd choice of hotels
- Arrival and departure dates
- Number of rooms required
- Type of room required (single, double,
suite, etc.)
- Number of persons in party
- Arrival time
- Credit card name, number and expiration date
- Names of all occupants of room(s)
- Address
- Telephone number
- Special requests

DEPOSIT/CONFIRMATION
- A $125.00 deposit per room is required for all
reservations. The deposit amount is payable by
credit card or check.

- Credit Card: Your credit card will
be charged immediately. Most major credit
cards are accepted. Your room confirmation will
be sent upon acceptance of your credit card
charge.

- Check: An invoice for $125.00 per room
deposit will be mailed to you. Payment must
be received within 15 days of the invoice date or
your reservation will be cancelled.
Do not send payment without an invoice stub. Your
room confirmation will be sent upon receipt of
your check.

CHANGES
- Prior to April 1, all changes should be made with
the WCVA Housing Service at the number listed
above. After April 1, changes should be made with
the hotel.

CANCELLATIONS/REFUNDS
- Cancellations made prior to April 1 should be
made with the WCVA Housing Service and will be
refunded in full. The Housing Service will issue
the refund.
- Cancellations made after April 1 and prior to 72
hours of arrival should be made with the hotel. A
$10.00 fee will be deducted from your deposit.
The hotel will issue the refund.

- Your reservation must be cancelled 72 hours
prior to arrival or the entire $125.00 deposit
will be forfeited.

MEETING SHUTTLE
- A meeting shuttle will service the Crown Plaza,
Days Inn, Henley Park, Holiday Inn-Franklin
Square and Mayflower Renaissance - Friday, May 2
- Tuesday, May 6 throughout the day (begins at
7:00 am and into some evening hours. Schedules
will be available at each hotel.
All hotel rates include a $3.00 fee
per room per night for meeting shuttle service.
