FUNCTION SPACE REQUEST
Rules and Regulations

The Pediatric Academic Societies welcomes applications for meeting space for allied activities to be held in conjunction with the 2001 PAS Annual Meeting in Baltimore.  In general, “allied activities” are committees, alumni gatherings, investigator meetings and approved pediatric subspecialty clubs and societies. 

Individuals interested in obtaining meetings space should complete the application for space and submit it to the PAS Office. The application can be downloaded below.  The PAS has contractual control on all meeting space within the official headquarters hotels and Convention Center servicing the PAS Annual Meeting.  All space requests are processed through the PAS and not the hotel directly.  PAS show management will make every effort to fulfill all approved requests, but space is limited and assignments are made on a first-come, first-served basis.  By submitting an application for space individuals agree to adhere to the rules and regulations noted below.  Contact Sara Recer at the PAS Office at 281-419-0052 or email sarar@aps-spr.org if you have any questions.

Requests for space will be approved or denied by February 2nd, 2001.
Notification of space assignments for approved functions will be sent by March 15, 2001.

  1. All activities are restricted to the official meeting hotels - Hyatt Regency Baltimore and Renaissance Harborplace Hotel or Sheraton Inner Harbor at the discretion of Show Management. Each of these properties are near the Baltimore Convention Center where the PAS scientific program will be held.  The Convention Center may be assigned in some cases as well.

  2. Social functions may not conflict with the scientific program schedule of the PAS.  Clubs, committees, and related programs are strongly encouraged to not compete with the scientific program of the PAS.  Slight overlap may be considered upon PAS approval.  Please refer to the enclosed PAS meeting schedule.  You are also encouraged to review the detailed daily schedule posted on our website to ensure you avoid conflicts relevant to you.

  3. You will be responsible for the organization of your function. Your session/function will be set according to your request as possible. You will also be responsible for any charges for special needs, i.e.; catering, projectionists, audio visual equipment, etc.

  4. No outside food and beverage is allowed in any meeting function.

  5. Notification of space assignments will be done by March 15, 2001.  At that time, you will be provided with the name of the individual at the facility whom you will need to directly contact regarding any food and beverage or special sets.

  6. Bulletin boards will be available at the convention center so you may publicize meetings and gatherings. Notices are limited to a size of 8 ˝ x 11" (letter size paper). You may put a larger poster-type notice at the door of the function, but only during the scheduled time of the function. Poster boards scattered throughout the hotels and convention center will not be allowed and will be removed by show management.  The PAS publishes an affiliated program guide that will list your activity as well.

  7. Space is assigned by date of request on a first come, first-served basis.  Please indicate a first and second request for date and time, if possible, as well as your preference for location.  Contact the PAS at sarar@aps-spr.org if you have any questions.

STATEMENT ON CONFLICT OF INTEREST

Members of our Societies and our Societies as a whole, must avoid actual or apparent conflict of interest regarding social, educational or research activities.

As guidelines, governing conflict of interest in consulting, company ownership and research funding emerge at the institutional level, our Societies seek to promulgate similar policies as they pertain to our association and its members.

Work submitted for presentation at the annual meeting must include an acknowledgment of commercial or industrial funding, consulting, or equity holdings in companies which could be affected by the results of the study. Such a statement should appear at the conclusion of the abstract and should read "funded by..." and/or "equity in...," where pertinent.

Societies are encouraged to solicit and accept funds for educational purposes. These donations will be acknowledged on a yearly basis in the description of the relevant activity in the program issue, at the site of the relevant activity, or as contributions to general educational funds. No funds will be accepted for social activities of the Societies. Awards or symposia with commercial sponsors must adhere to the educational mission of the societies, must exclude commercial involvement in the selection of awardees and program content, and must be approved by the Councils of the Societies. Related clubs, societies, symposia, etc. must adhere to similar policies.
