PHOTOGRAPHY REQUESTS
March 15, 2023
Enter all PAS 2023 Photography Needs into the 2023 Photography Requests Google Doc.
A few important details to remember:
- You will notice there are five tabs:
- 2023 Event-Specific Requests. Please insert ALL of your needs under this area in black font (which shows us this is finalized). If you do not know your room assignment yet for a particular session please feel free to put “TBD” in red and we can update that as the information is available.
- 2019 and 2022 Requests for reference. This area may help you remember what you have requested in the past and is there as a resource.
- 2023 and 2022 Marketing Requests. This is for the PAS marketing team only, so there is no need to update this area.
- THE MORE DETAILS YOU CAN GIVE THE BETTER. I suggest not using terms like “random photos”. Please share as much information as can you to achieve the desired results.
- GIVE SPECIFIC TIMES that you need the photographer there, NOT the full session times. The photographer moves around a lot, and this will help make sure they capture what is needed.

RIBBONS
MARCH 15, 2023
Enter up to 15 ribbon requests per society into the 2023 Ribbon Request Google Doc. There are two tabs, the 2023 new ribbon requests and the 2022 ribbons ordered (for reference).
There are ribbons from PAS 2022, I will be doing inventory next week and will send out a list to each society of what is remaining.
PAS will once again order generic ribbons. Choose your societies Font/Foil and Ribbon color choices from the below. These ribbons will be billed back to each society after the meeting.
If you have more than 15 ribbons you would like to request for your society, please let us know. We will get them approved, and if approved, your society staff may distribute them as needed to the attendees you wish to wear them.
Ribbon set-up fee = $14.00 per title total (for example $14.00 x 15 titles = 210.00 for set-up cost)
Cost per ribbon = Unknown until I have the total number of ribbons from all orders
Going forward for future meetings the cost will be less if you order the same-titled ribbons because you will not have to pay the custom ribbon setup fee of $14.00 per ribbon.
Once I have your order, I will send an estimate to each society. Please let me know if you have any questions.

NEW THIS YEAR: You have the option to design the two kick panels of the kiosk. PAS will submit your logo for each panel OR if you would like your designer to create the panels, the specs are below. PAS must approve the final design.

SIGNAGE
April 1, 2023
All signage due – Enter all signage requests in the PAS 2023 Signage for Partners + Societies.
Ancillary AV orders due to Freeman
Ancillary F+B Order due to HQ hotel
Signage – Ancillary Events – All Non-Scientific signage scheduled, Thursday, April 28 – Monday, May 1, 2023, in all PAS, contracted venues outside of the hotel electronic signage is based on allocated contract signage remaining once all scientific sessions are complete. All prior society signage requests will be approved. All signage is due by April 1, 2023. New events with signage requests will be accommodated if the budget allows and the PAS Staff Office will notify you if the budget reaches its max prior to sending final signage orders to print. One option could be that the society chooses to pay for the additional signage and move it to print. All society signage will be in the assigned hotel staff room prior to a session setup. REMINDER: Society-supplied signage is allowed in front of the session room while the session is taking place and must meet all CME regulatory guidelines.
NEW FOR 2023 – POP-UP MEETING SPACE
We are opening the Pop-Up Meeting Space in the Convention Center to you in advance of the meeting. This space will be booked on the Pop-up Meeting sign-up doc and can be used for any pop-up meetings you require in the CC.
TRAINEE ZONE M6 POSTING BOARD FLYER
The Trainee Zone will be an exclusive VIP space for our trainees with lounge furniture, coffee, etc on the second floor of the convention center, right outside the Poster and Exhibit Hall. There will be a posting board in the area where you can post flyers. If you have membership info, trainee award info, etc., you may post some flyers here.
You can post ad information relevant to your society in the Trainee Zone. Feel free to post up to two letter-size flyers OR multiple flyers totaling that size. We want to make sure there is room for all M6 and our six Trainee Zone sponsors.
