By registering, I affirm that I have read and agree with the following Event Participant Terms and Conditions.

Event Participant Terms and Conditions

Pediatric Academic Societies (PAS)
Event Participant Terms and Conditions

Each individual who participates in or has access to the Pediatric Academic Societies (PAS) Meeting (Event) in any manner (each an “Event Participant”) must accept and comply with the Event Participant Terms and Conditions (EPTC) during the PAS registration process as set forth below and as may be modified by PAS from time to time.

Events or circumstances not covered in these Event Participant Terms and Conditions are expressly reserved to PAS for review and determination.

The Event
The Event is the PAS Meeting. The Event consists of educational programs, exhibitions, networking and social events, and other events and gatherings held in connection with the Event whether hosted or organized by PAS, any Partner Organization, exhibitors, sponsors, affiliates, or other supporters.

The Partner Organizations
PAS is comprised of the following organizations (each Partner Organization, collectively Partner Organizations): American Academy of Pediatrics, the Academic Pediatrics Association, the American Pediatric Society, and the Society for Pediatric Research

The Venue
The Event will be held during April 30-May 3, 2027, at the Minneapolis Convention Center in Minneapolis, Minnesota, as well as other hotels and venues throughout Minneapolis.

Name Badge & Access Pass
Event Participants must wear their name badge at all times within the Venue and in connection with the Event. All badges will be available for pick-up/printing in the registration area in the Minneapolis Convention Center.
Event Participants who do not wear their name badge will be denied entry to the Event without refund.

Only the person whose name is on the badge is entitled to wear such badge. Name and institution/company will appear on the badge as indicated during the registration process. Event Participants may be asked to provide identification to verify that their identification matches that on the badge. Any Event Participants wearing another person’s badge will be removed from the event immediately without refund.

Participation Restrictions
Event Participants may be restricted from participating in certain portions of the event. The Poster and Exhibit Hall is open to all Event Participants during Poster and Exhibit Hall hours. Event Participants authorized to represent an exhibiting company are permitted to access the exhibit hall one hour before and one hour after the hall closes each day.

Any Event Participant may attend the evening events unless the event is noted as “By Invitation Only”.

The PAS Board of Directors Meeting is open only to members of the PAS Board of Directors and invited staff and guests.

Event Participant Registration Information
All Registrations (In-Person & On-Demand Only) may be canceled through March 15, 2027 | 11:59 p.m. CT. If canceled on or before March 15, 2027 | 11:59 p.m. CT, the original registration fee, less a 20% administration fee, will be refunded. Refunds are not permitted beginning March 16, 2027.

If you are a registered Event Participant for the in-person Event and discover you are unable to attend the onsite Event after the March 15, 2027 cancellation date, your registration will switch to an On-Demand Only registration, and no refund will be applied. You will have full access to all On-Demand content beginning May 3 to August 1, 2027.

Trainee registration may be canceled on or before March 15, 2027 | 11:59 p.m. CT and will receive a full refund. Cancellations are not permitted beginning March 16, 2027. Trainees who cancel their registration after March 15, 2027, will switch to an On-Demand Only registration, and no refund will be applied. You will have full access to all On-Demand content from May 3 to Aug. 1, 2027.

On-Demand Only Registration may be canceled through March 15, 2027, 11:59 p.m. CT. The original registration fee, less a 20% administration fee, will be refunded. This administration fee is waived for Trainees.

International Registrants or a group of International Registrants who are not paying by credit card may email info@pasmeeting.org and add International Group Registration to the subject line. We will then send you the PAS International Wire Transfer form.

Family members are welcome to attend the Event. Family Registration provides access to the on-site Event; On-Demand access and CME are not included. During registration, enter the number of Family Registrations you wish to purchase at $50 each.

Guest Passes issued by PAS provide access only to the designated Event function for which they have been approved. A Guest Pass does not provide access to the full Event. To request a Guest Pass or inquire about a special circumstance, please contact info@pasmeeting.org.

All presenters, regardless of age, are required to register for the Event at the applicable full registration rate. Guest Passes and Family Registration may not be used in place of presenter registration.

PAS Ticketed Event and Ticketed Simulation Workshops will be refunded in full if canceled before April 19, 2027.

Event registrations cannot be transferred to another person. The replacement individual must register for the Event separately.

Registration cancellations must be submitted via email to info@pasmeeting.org.

You can make changes to your registration record or upgrade your registration at any time by visiting Update Registration Information.

Event registration fees do not include hotel room or room deposits, flights, or incidentals.

Cancellation or Modification of the Event
PAS reserves the right to cancel the Event and/or modify the Event program at any time, for any reason or no reason. In the event of a cancellation or modification, PAS will make reasonable efforts to notify Event Participants promptly and will determine, in its sole discretion, whether any refunds will be issued under the circumstances.

Viewpoints
Any viewpoints, ideas, recommendations, products, services, and opinions offered during the Event (collectively “Viewpoints”) are solely those of the person making the statement and do not necessarily reflect the position, policy, or opinion of PAS and should not be construed as a recommendation or endorsement of the Viewpoints by PAS. PAS shall not be liable for any claims arising out of or related to the Viewpoints. Event Participants are encouraged to seek the guidance of trained professionals to address their individual situations.

Video and Photo Consent
In consideration for my participation in the PAS Event, I hereby grant PAS, its employees, agents, contractors, and designees the perpetual, worldwide, exclusive, royalty-free, and irrevocable right and permission to photograph me and/or record my audio and/or video during the Event. Any photograph, audio recording, or video recording taken or made during the Event is collectively referred to as the “Footage.” I grant PAS and its designees the right to retain, reproduce, use, alter, display, and distribute the Footage, as well as my image, name and voice, in all forms and media, including, without limitation, photographs, electronic reproductions and transmission of images and audio files, webcasting, websites, marketing materials, social media, and other PAS-related communications, and for any other lawful purpose consistent with PAS’s mission. This may include the use of exhibiting companies’ trademarks that appear in the Footage.

I understand and agree that PAS and its designees may use the Footage in any manner described above without further notice or approval from me, and that I will not receive any compensation or royalties for the use of the Footage, my image, name or voice.

My attendance at or participation in the Event constitutes my consent to being photographed and to having my audio and/or video recorded, as well as my consent to all uses of the Footage, image, name and voice as described above.

Video and Photo Usage
PAS reserves the right to restrict an Event Participant from audio and/or video recording at the Event for any reason. Event Participants agree to adhere to any such restrictions, including those relating to special booth appearances or educational sessions. Only authorized media and PAS representatives may be granted permission to capture audio, video, and photographic content at the Event. Images or audio obtained at the Event may not be sold or repackaged for commercial use.

PAS will share videos of certain sessions. Presenters at these sessions will be asked to indicate whether their session videos may be shared.

The presentations, handouts, posters, and other related materials which are part of the Event are the copyrighted intellectual property of the owner, and no use of such materials may be used in any way without the prior written consent of the copyright owner except as set forth below in the Share/Do Not Share policy.

Share-Do Not Share Policy

For any educational programs or poster sessions, presenters or authors, as applicable, are responsible for placing the correct PAS-provided icon on each slide or poster. Important: Event Participants must take note of what icon is listed on each slide.

  • The PAS Share icon indicates the presenter or author authorizes only INDIVIDUAL slides or posters to be photographed, recorded, and potentially shared on various web and social media platforms. Event Participants may share individual slides or posters on social media, blogs, or other platforms, but must include the author’s full name and institution, and comply with any other restrictions stated by PAS.

  • The PAS Do Not Share icon means photographing, recording, capturing, publication, distribution, or sharing is not permitted.

If no icon is shown, photographing, recording, capturing, publishing, distributing, and sharing are not permitted.

Regardless of whether a PAS Share icon is displayed, except as expressly authorized by PAS or permitted under the PAS Share/Do Not Share Policy, Event Participants are prohibited from recording, photographing, screen capturing, livestreaming, broadcasting, or otherwise capturing ENTIRE presentations or sessions. The PAS Share icon permits the capture of individual slides or posters only and does not authorize the recording or distribution of an entire presentation or session.

Event Participants may not publish, post, distribute, reproduce, transmit, sell, or otherwise publicly disseminate Event content or recordings in any format without the prior written permission of PAS and, where applicable, the presenter or copyright owner.

Official photographs will be taken at the PAS Meeting. By registering for this meeting, you agree to allow PAS to use your photo in any PAS-related publications, including the PAS website.

Technology Use
As a courtesy to Event Participants, PAS requests that all electronic devices be silenced during sessions and other programming. Event Participants needing to use their device for something other than session participation should step outside the session room to avoid disturbing other Event Participants.

Capacity Limits
Seating for any session during the Event is on a first-come, first-served basis up to the room’s maximum capacity as determined by the venue’s fire marshal. Once capacity is reached, the session will be closed and may be directed to an overflow room, if available.

Changes to Sessions/Speakers
PAS reserves the right to cancel, replace, or modify the speakers for any sessions for any reason or no reason. Event Participants will be notified via the Event app.

Environmental Stewardship
PAS is focused on providing events that are designed, organized, and implemented to minimize negative environmental impacts whenever possible.

Unauthorized Solicitation and Distribution of Materials
Solicitation of business by anyone other than the exhibitors is strictly prohibited. Solicitation of business in sessions and Events is entirely prohibited. Distribution of flyers, pamphlets, notices and brochures in any Venue without the prior written consent of PAS is expressly prohibited.

Suitcasing and Outboarding
Suitcasing is a business practice in which unethical companies gain access to an event by obtaining some event credentials and then soliciting business in the aisles or other public spaces used for the Event, or in a hotel guest room, hospitality suite, or restaurant. Any vendor who is observed to be soliciting business in the aisles or other public spaces or in another company’s booth will be asked to leave immediately. Please report any violations you may observe to PAS.

Outboarding is defined by the International Association of Exhibitions and Events (IAEE) as the creation of a concurrent event related to an existing exhibition or event, but not sanctioned by the organizer, that seeks to benefit from the audience the organizer attracts. PAS considers outboarding to be unethical business conduct and works diligently to protect our exhibitors’ and sponsors’ investment in the event by taking a firm stance against outboarding. PAS encourages its exhibitors to host parties and special events to enhance the Event before and after show hours; these activities should never be functions that compete against those who are making an additional investment in their brand at the Event.

Allergens and Food Safety
Event Participants are solely responsible for managing any food allergies during the Event, including by confirming ingredients and food-safety information with onsite catering staff.

Weapons and Hazardous Items
The Event is a completely gun-free zone. Firearms, weapons (including weapon replicas), ammunition, dangerous or hazardous devices or substances, and illegal items are prohibited at the Event. Event Participants are required to adhere to Venue and Event policies regarding firearms as well as all federal, state, and local laws regarding firearms. Event Participants acknowledge all bags are subject to search and metal wand screening.

Health and Safety
The responsibility for a healthy and safe event environment is shared by every Event Participant. Event Participants must adhere to and abide by health and safety protocols implemented for the Event, including as they may be modified. Any Event Participant who is feeling unwell should not attend the Event. Event Participants may wear a face covering based upon personal preference.

By attending the Event, Event Participants acknowledge and agree the contagious nature of any communicable disease and voluntarily assume the risk that they may be exposed to or infected by any such communicable disease by attending the Event.

Accessibility and Assistance for Event Participants with Special Needs
PAS is committed to providing an accessible Event for all Event Participants. Individuals requiring accommodations or assistance are encouraged to contact PAS in advance of the Event by emailing info@pas-meeting.org with the subject line, “Assistance with Special Needs.” Please include your specific request so that PAS can make reasonable efforts to accommodate your needs.

PAS complies with the Americans with Disabilities Act of 1990 (ADA) and applicable accessibility laws.

Animals
Animals are not permitted at the Event except for service animals trained to do work or to perform a task as outlined in the Americans with Disabilities Act of 1990 (ADA).

Dress Code
The dress code at the Event is business casual.

Do No Harm Policy
Event Participants may not engage in any conduct or take any action that is illegal or intended to reflect negatively on or harm the reputation or business interests of PAS, the Event, and other Event Participants. Event Participants shall not harm, disturb, disrupt, or otherwise interfere with the Event or the Venue. Event Participants should immediately notify PAS of any knowledge of or reasonable suspicion of a violation of this policy.

Alcohol Consumption
Event Participants who consume alcoholic beverages must do so in a reasonable manner. Venues, exhibitors, and other hosts may refuse to serve alcoholic beverages at the Event to any Event Participant who appears intoxicated.

Event Code of Conduct
PAS is committed to fostering a welcoming, safe, collaborative, and productive environment for dialogue and discovery at the Event. This Event Code of Conduct applies to all Event Participants and to all PAS activities related to the Event, whether held in person, online, or through social media. Covered activities include, without limitation:

• Activities in preparation for or related to the Event;
• Activities hosted, sponsored, or offered by PAS, PAS sponsors, exhibitors, or PAS Partner Organizations;
• Activities taking place at PAS-contracted venues, hotels, or other Event locations; and
• Online or social media activity associated with PAS or the Event, including posts using anything PAS, Event, or PAS Partner Organization related, hashtags, or appearing on PAS-affiliated social media pages.

Expected Conduct

All Event Participants are expected to:
• Conduct themselves professionally and respectfully;
• Follow common-sense rules for public behavior, personal interaction, courtesy, and respect for private property;
• Be considerate of and respectful toward differing perspectives;
• Comply with the rules, policies, and instructions of PAS, participating societies, Event platforms, venues, hotels, moderators, and PAS event staff; and
• Comply with all applicable local, state, and federal laws.

Unnacceptable Conduct

PAS prohibits harassment, discrimination, intimidation, threatening behavior, and disruptive conduct in any form.

Unacceptable conduct includes, without limitation:

• Harassment or discrimination based on sex, sexual orientation, gender identity or expression, transgender status, race, age, national origin, disability, religion, ethnicity, or any other protected characteristic;
• Intimidation, stalking, following, coercion, threats, personal insults, or abusive, harassing, or threatening behavior;
• Inappropriate physical or digital contact;
• Unwelcome sexual attention, whether physical, verbal, written, or visual;
• Boisterous, lewd, offensive, obscene, or profane behavior, language, images, or gestures;
• Racial, religious, ethnic, or other discriminatory slurs;
• Inappropriate display, sharing, or use of nudity, sexual images, sexually explicit language, or other offensive content in public spaces or Event materials, including presentation slides;
• Unwelcome photographing, recording, livestreaming, screenshotting, or other documentation of Event Participants;
• Sustained or intentional disruption of presentations, sessions, video or text chats, exhibit hall activities, social events, or other Event activities;
• Unauthorized solicitation, promotion, or distribution of promotional items; and
• Failure to comply with instructions from moderators, PAS event staff, venue personnel, platform personnel, or security.

Participants who are asked to stop hostile, harassing, discriminatory, disruptive, or otherwise unacceptable conduct are expected to comply immediately.

This Code provides general guidelines and does not limit PAS’s ability to address other conduct that PAS determines, in its discretion, is inconsistent with the purpose or expectations of the Event.

Reporting a Violation
Violations of this Code of Conduct Policy should be reported immediately.

Any Event Participant who experiences, witnesses, or becomes aware of a violation during the Event should contact a PAS team member, venue security, platform personnel, or other appropriate Event personnel. Event Participants should also alert appropriate personnel if they become aware of a dangerous situation or if anyone appears to be in distress.

Participants who feel physically unsafe or believe a crime has been committed should contact local police immediately.

To report a Code of Conduct violation onsite DURING the Event:

To report a violation BEFORE, AFTER, or OUTSIDE the Event:

• Visit the Code of Conduct form, which will collect and promptly relay information confidentially and sensitively.
• Email PAS at info@pasmeeting.org.

Complaints may be raised during or after any PAS event. Allegations regarding misconduct by participants are taken very seriously. PAS encourages prompt reporting of violations so immediate action can be taken to address the concern. Reports may not be submitted anonymously, as that would preclude adequate follow-up action.

Procedures Regarding Reported Violations:

During the PAS Event

• Once an allegation is received, the incident will be reviewed promptly by the PAS Chief Meeting Officer and members of a PAS Advisory Group, comprised of the members of the Program Committee Leadership Team.
• Based on this initial information, the complainant will be interviewed promptly by the PAS Chief Meeting Officer. The complainant will be asked to provide their preferred resolution.
• Note: if any of the above individuals are named in an allegation, they may be excluded from any review actions.
• Based on the sole assessment of the PAS Chief Meeting Officer, and the PAS Advisory Group comprised of the members of the Program Committee Leadership Team, in consultation with legal counsel, as needed, PAS may enact a range of next steps, up to and including immediate expulsion from a session, event, or the Event, without prior warning or refund. PAS reserves the right to remove any participant whose social attentions become unwelcome to another and who persists in such attentions after their unwelcome nature has been communicated. PAS also reserves the right to remove any participant who appears inebriated or who engages in conduct that interferes with the ability of other participants to participate in and enjoy the Event.

After a PAS Event 

• If PAS, in its sole determination, concludes the allegation requires further review or scrutiny, the PAS Chief Meeting Officer and an Advisory Group member will raise the complaint with the alleged offender, who will be given a chance to respond.
• Other individuals may be contacted to provide information. Participants are expected to cooperate with PAS information gathering related to a reported violation of this Code of Conduct Policy by providing the information requested by PAS that is relevant.
• Action will be taken by the PAS Board based on its assessment of the level of misconduct.
• PAS may, in its reasonable judgment, refer the allegation to venue or platform security personnel or to the alleged offender’s home institution (Office of Research Integrity or similar), employer, licensing board, or law enforcement for investigation and decision.
• If PAS, in its reasonable judgment, determines an individual has violated this Code of Conduct Policy, PAS may bar the individual from participation in future PAS events.
• PAS will report on the outcome of any investigation to individuals who have reported a violation of this Code of Conduct Policy.

Consequences of Violations
PAS may take any action it deems appropriate in response to a violation of this Event Code of Conduct, including, without limitation, warning the participant, removing the participant from a session or activity, denying access to Event platforms or venues, expelling the participant from the Event without refund, and/or prohibiting the participant from attending future PAS activities.

Personal Data
As part of Event Participants’ registration for the Event, PAS uses the personal data provided by Event Participants to inform them of PAS programs and events, products or news that may be of interest to them, and such other purposes which are within the scope of PAS’s exempt purpose and mission.

PAS will share the data you provide PAS with third-party vendors to process your registration, to make you aware of goods and services you may be interested in, to perform analytics on behalf of PAS in connection with the Event and for such other purposes as PAS may approve from time to time.

Assumption of Risk and Waiver of Liability
Each Event Participant must acknowledge and agree to this Assumption of Risk and Waiver of Liability (Waiver) in addition to the EPTC before Event registration can be confirmed.

By agreeing to this Waiver, the undersigned (I or you) acknowledge that you have decided to attend the Event in person with the full understanding of the inherent risks of such a decision.

PAS is not responsible for the Venue’s health and safety mitigation efforts (or lack thereof) or any negligence by the Venue or its staff relative to such precautions. To help minimize the potential of health and safety issues, everyone attending the Event will be required to follow any health and safety policies and protocols established by PAS.

I acknowledge and agree that it is my obligation to follow all recommended and required health and safety policies, protocols, and measures while attending the Event.

I acknowledge and agree that I a.m. attending the Event voluntarily, and at my own risk. I agree to accept and assume all risks of personal injury, illness, disability, or damage related to health and safety arising from my attendance, including but not limited to, risks arising from the acts, omissions, and negligence of others, including PAS officers, directors, employees, agents, members, or exhibitors. I hereby release, for myself, my heirs, personal representatives, and next of kin, and do forever discharge, covenant not to sue, indemnify and hold harmless PAS, its directors, officers, agents, employees, members, and representatives, of and from any and all claims, liabilities, actions, da.m.ages, costs, or expenses of any kind arising out of, in connection with or relating to my attending or participating in the Event including, without limitation, any illness, da.m.ages, or injury whatsoever resulting from my attendance at the Event, participation in events related to the Event, exposure to an infectious disease or the manner in which the Event or its related events and activities are conducted (collectively, Claims).

I understand and agree that this Waiver includes any Claims based on the actions, errors, omissions, or negligence of PAS, each Partner Organization, their respective directors, officers, agents, employees, members, and representatives, whether a condition giving rise to any Claims occurred before, during, or after I attended or participated in the Event. I understand that PAS is under no obligation to provide support or safety during the Event or medical aid in case of accidents or illness. However, should an accident or illness occur, I give PAS (or its representatives or staff) permission to seek immediate medical aid, and I further agree to hold harmless PAS and its respective officers, directors, members, staff, and representatives from any liability for illness, injury, loss, or da.m.age related in any way to the provision or lack of provision of medical aid.

POLICIES

Academic Ethics Policy

PAS 2027 Academic Ethics Policy

This policy provides guidelines regarding PAS’s expectations as to submissions for presentations at the PAS Meeting regardless of session format. PAS strives to ensure presentations at the PAS Meeting are presented with the utmost ethical conduct and are free from any conflicts of interest. PAS is committed to fostering an environment where all PAS Meeting participants maintain the highest ethical and academic standards and where all conflicts of interest are fully and openly disclosed. PAS will proactively monitor, compare and analyze submissions to ensure compliance with PAS abstract submission guidelines and this policy. Failure to follow this policy may result in the immediate rejection of such submission.

Submission Guidelines

  • Without regard to session format, submissions made for presentation at the PAS Meeting should adhere to PAS Meeting Submission Guidelines as posted on the PAS Meeting website.
  • There is no limit on the number of abstracts submitted by each author, but the submission of multiple, redundant or highly similar abstracts with only minimal changes in the abstract title or minor changes in data analysis or minor additions/changes in included data from the same investigator(s) or laboratory is strongly discouraged. Such submissions may result in the rejection of all abstracts that are deemed to be in violation of PAS guidelines; rejection may occur prior to, during, or after review, even if submitted to different topics.
  • Previously submitted and rejected abstracts should not be resubmitted with only minimal or no changes. Such submissions may result in rejection prior to, during, or after review. Previously submitted Scholarly Sessions or Workshops that have been accepted or rejected may be resubmitted.
  • Abstracts submitted to the immediate past PAS meeting can be resubmitted with updated findings if they have not been published in manuscript form prior to resubmission.
  • The same Trainee Ongoing Projects (TOP) Poster Abstract may not be presented at successive PAS Meetings. Previously accepted Trainee Ongoing Projects (TOP) Poster Abstracts that have then been completed may be presented at future PAS Meetings if significant new data or results are available at the time of submission.
  • Abstracts submitted and/or presented at other Societies’ or national meetings within the 12 months prior to the PAS Meeting may be submitted to the PAS Meeting for consideration. Abstracts presented at the last PAS Meeting may not be submitted.
  • Abstracts should not be submitted if accepted for publication.
  • Research published in manuscript form prior to the submission of the abstract are not appropriate and should not be submitted. Abstracts that describe work that has been submitted as a manuscript or is a manuscript in revision may be submitted. Authors do not need to take any action if they receive notification of acceptance for publication following submission to PAS.
  • Research accepted for publication after submission and acceptance by the PAS may be presented at the PAS Meeting for which it was chosen.
  • Upon submission, the submitting author verifies that all authors have agreed to the submission.
  • Reviewer scores and comments are confidential and are not available to individuals (including authors) except through official PAS communications.
  • The decision of the Program Committee to accept or decline any submission is final.
  • The assignment of the presentation format for accepted submissions (for example, platform, plenary or poster session) is at the sole decision of the PAS Program Committee.
  • If your submission is accepted, all presenters must give permission for their presentations to be recorded and for the recording to be used for academic purposes by Pediatric Academic Societies, Inc. (PAS). This includes authorizing PAS to reproduce any and all video/audio recordings that are made of the participants during this event, without further compensation. The recordings will be made available only to registered participants.
  • An Abstract accepted for PAS may be presented only once at the PAS Meeting for which it was accepted, inclusive of all pre-conference, program, and ancillary events. Presenting authors speaking in multiple PAS sessions may reference the same work or data but should not give redundant, materially overlapping, Abstract presentations.
  • Abstracts presented at any PAS session, inclusive of all pre-conference, program, and ancillary events, may only be drawn from the official PAS Call for Abstracts. Auxiliary or independent content calls by groups participating in PAS are not permitted unless reviewed and approved by the PAS Program Chair prior to the call opening.
  • The PAS Office will gather from all accepted Abstract presenters a confirmation of all sessions, inclusive of pre-conference and ancillary events, in which they will be speaking and affirm the presentations are not redundant, materially overlapping, Abstract presentations. The PAS Office may utilize filters, AI, software or other technology or methods to aid compliance monitoring. Violations will follow the existing PAS Academic Ethics procedures.

Publication of Submissions

· All submissions, if accepted for presentation, will be published in the PAS Program Guide.

Ethical Conduct & Conflict of Interest

Regardless of the session format, PAS expects:

  • Should be free of plagiarism, and misrepresentation and should align with the standards for research or academic work expressed by the home institution of submitting author(s) or presenter(s).
  • All authors of submissions must complete and submit Conflict of Interest Disclosures (COI) in accordance with PAS timelines and procedures. The submitting author should alert her/his colleagues about this requirement.
  • If the submission is accepted for presentation, all authors must attest that they and the submission are in compliance with the PAS Policy on Academic Ethics Policy and Submission Guidelines.
  • If the submission is accepted for presentation, all authors must attest whether they have previously been found in violation of the PAS Code of Conduct Policy.
  • Work submitted for presentation must include an acknowledgment of funding sources of commercial nature and/or consulting or holding of significant equity in a company that could be affected by the results of the study.

Reporting Ethical Conduct or Conflict of Interest Concerns or Violations

Any individual who believes the research, content, information, or data contained in a presentation within the PAS Meeting program:

  • Violates the intellectual property rights of another and/or
  • was or may be presented without full disclosure of all conflicts of interest by the submitting or presenting party(ies) should file a complaint with the PAS Program Chair by contacting the PAS Office at info@pas-meeting.org or 346.258.6235.

Complaints will be reviewed by the PAS Program Chair in consultation with an ad hoc committee comprised of the PAS Program Committee Chair-elect and up to two relevant subject matter experts drawn from the PAS Program Committee.

Consequences of Violations

Following consultation with the ad hoc advisory committee, the PAS Program Chair will communicate the outcome and decision to the individual(s) who completed the submission. If a violation of this policy is found, actions taken against such individual(s) may include:

  • Rejection of the submission
  • First offense, minor: Warning with a reminder of submission guidelines and policy requirements
  • First offense, major: Prohibited from submission, presentation, or attendance for the three PAS Meetings following violation
  • Second offense: Prohibited from submission, presentation, or attendance for the three PAS Meetings following violation

All decisions of the ad hoc advisory committee shall be final.

Notwithstanding the above, if PAS, in its reasonable judgment, determines an individual has violated this policy in an egregious or flagrant manner, PAS may, without regard to the above tiers, bar the individual from the participation of any kind in any future PAS Meetings. PAS reserves the right to immediately remove:

  • Any Meeting participant whose actions violate this policy.
  • Any content or materials related to violations of this policy.
  • And to cancel any related presentations if PAS, in its reasonable judgment, deems such presentations a risk to its ability to conduct a meeting free of ethical violations or conflicts of interest.

NOTES:

  • For information regarding the conduct expected of attendees of the PAS Meeting, please refer to the PAS Meeting Participant Code of Conduct Policy.
  • APA may continue to conduct a separate Abstract call for its existing APA QI Pre- conference at the PAS Meeting and is aware CME provider Baylor may discontinue CME credit.
  • If the APA anticipates a change to the Abstract call practices or scope for the APA QI Pre-conference, the APA is asked to alert the PAS Program Chair to facilitate coordinated program planning.

Ancillary Event Policy

ANCILLARY EVENT POLICY

 The purpose of this policy is to specify the types of Ancillary Events, including Extended Ancillary Events, that nonprofit organizations or government agencies are permitted to hold in conjunction with the PAS Meeting in support of our vision: A world with healthy children, adolescents, and families through advances in pediatric scholarship.  For purposes of this policy, “in conjunction with” is understood to mean conducted during the days of the PAS Meeting (Wednesday to Tuesday) and occurring within a 100-mile radius of the hotels, convention center, or other venues contracted by the PAS. “Nonprofit organization” is understood to mean organizations that have been granted such status by the US Internal Revenue Service or similar international body. “Government agency” is understood to mean an agency established by a sovereign government.

NOTE: For commercial ancillary events, see the PAS Exhibit & Sponsorship Opportunities Prospectus.

Policy Scope: Ancillary Events proposed by the following nonprofit organizations, governmental agencies, or by their faculty, staff, or contracted staff are guided by this policy:

  • PAS Partner, Alliance, Affiliate, and Club organizations listed on the PAS Meeting website
  • Hospitals, clinics, or other care centers supporting pediatric research, clinical care or education
  • Academic/educational institutions supporting pediatric education or research
  • Nonprofit organizations formed to support children and adolescents
  • Governmental agencies with a charter related to the support of children and adolescents

Types of Permitted Ancillary Events: Ancillary Events should advance the vision of the PAS Meeting, the field of academic pediatrics and pediatric research, and should not detract from or compete with official PAS programming or events. Acceptable event types include:

  • Alumni Event
  • Breakfast
  • Committee/Business Meetings
  • Dinner
  • Lunch
  • Reception

Qualification Criteria: Proposed Ancillary Events must meet the following criteria:

  • Proposal Submission: Complete event details must be submitted through an official PAS Meeting Event proposals should include sponsor/organizer name, event title and purpose, audience size, logistical requirements, and all other questions indicated.
  • Policy Compliance: Event organizers agree to be aware of and in compliance with PAS policies, including billing, financial requirements, timelines, signage, registration, badge/ticket procedures, and use of only PAS-authorized service providers and venues.
  • Schedule: Ancillary Events are scheduled during PAS pre-con days (Thursday and Friday) and in the allowed hours noted below. Events typically are three hours or less in duration. For longer events, see Extended Ancillary Event below for additional Events longer than three hours in duration must be approved by the PAS Program Chair.
  • Content: Ancillary Events should not contain educational and/or scientific content.
  • Fees and Expenses: If applicable, PAS Ancillary event fees must be paid in The cost of goods and services purchased for the event from PAS-authorized vendors are the sole responsibility of the event organizer (i.e., AV, catering, etc.).
  • Registration: PAS Meeting registration for all event participants is required through the PAS Questions related to special guest or staff registration, exceptions, or timelines should be directed to the PAS Chief Meeting Officer.
  • Space: Conducted only in a PAS-contracted or approved venue assigned to the event by the PAS Office. The PAS Office will assign and may reassign space as needed to ensure optimal utilization of space at the PAS Meeting.
  • Badge/Ticket: Unless waived by the PAS, a PAS registration badge is required for entry to all approved Ancillary Events.
  • Marketing: May not be conducted prior to Ancillary Event All promotional materials, including websites, brochures, social media postings, emails, and fliers, should use the PAS logo, name, text, or other marks in compliance with PAS guidelines. Event organizers are responsible for timely response to guidance from PAS regarding revisions or updates to marketing materials.
  • Services: Following space assignment, event organizers are responsible for all further event arrangements through PAS-approved service providers, unless otherwise instructed by
  • Speakers: Any support offered must comply with PAS Speaker Support
  • CME: CME is not allowed in Ancillary Events.

Extended Ancillary Events: Any proposed Ancillary Event that exceeds three hours in duration must meet the following additional criteria:

  • Proposer: Only a PAS Partner organization may host an Extended Ancillary If the Extended Ancillary Event is not part of a PAS Partner Organization, it must be approved by the PAS Program Chair.
  • Schedule: May be conducted during the Approved Ancillary Event times posted each year.

Administration and Oversight: The PAS Program Director has responsibility for implementing this policy. He/she will consult with the PAS Chief Meeting Officer, Executive Director, Program Chair, or other governance bodies as needed to determine final event approvals or rejections.

Non-compliance Outcomes: Any organization found to be in violation of this policy, as determined by the PAS Chief Meeting Officer, may be subject to actions up to and including event cancellation without refund of administrative or other fees.

Approved Ancillary Event Days and Times: Approved Ancillary Events, regardless of sponsoring organization, may take place only during the following times. Times are subject to change based upon adjustments to the official PAS Program schedule.

The Event
The Event is the PAS Meeting. The Event consists of educational programs, exhibitions, networking and social events, and other events and gatherings held in connection with the Event whether hosted or organized by PAS, any Partner Organization, exhibitors, sponsors, affiliates, or other supporters.

PAS is committed to fostering a welcoming, safe, collaborative, and productive environment for dialogue and discovery at the Event. This Event Code of Conduct applies to all Event Participants and to all PAS activities related to the Event, whether held in person, online, or through social media. Covered activities include, without limitation:

• Activities in preparation for or related to the Event;
• Activities hosted, sponsored, or offered by PAS, PAS sponsors, exhibitors, or PAS Partner Organizations;
• Activities taking place at PAS-contracted venues, hotels, or other Event locations; and
• Online or social media activity associated with PAS or the Event, including posts using anything PAS, Event, or PAS Partner Organization related, hashtags, or appearing on PAS-affiliated social media pages.

Expected Conduct
All Event Participants are expected to:

• Conduct themselves professionally and respectfully;
• Follow common-sense rules for public behavior, personal interaction, courtesy, and respect for private property;
• Be considerate of and respectful toward differing perspectives;
• Comply with the rules, policies, and instructions of PAS, participating societies, Event platforms, venues, hotels, moderators, and PAS event staff; and
• Comply with all applicable local, state, and federal laws.

Unacceptable Conduct
PAS prohibits harassment, discrimination, intimidation, threatening behavior, and disruptive conduct in any form.
Unacceptable conduct includes, without limitation:

• Harassment or discrimination based on sex, sexual orientation, gender identity or expression, transgender status, race, age, national origin, disability, religion, ethnicity, or any other protected characteristic;
• Intimidation, stalking, following, coercion, threats, personal insults, or abusive, harassing, or threatening behavior;
• Inappropriate physical or digital contact;
• Unwelcome sexual attention, whether physical, verbal, written, or visual;
• Boisterous, lewd, offensive, obscene, or profane behavior, language, images, or gestures;
• Racial, religious, ethnic, or other discriminatory slurs;
• Inappropriate display, sharing, or use of nudity, sexual images, sexually explicit language, or other offensive content in public spaces or Event materials, including presentation slides;
• Unwelcome photographing, recording, livestreaming, screenshotting, or other documentation of Event Participants;
• Sustained or intentional disruption of presentations, sessions, video or text chats, exhibit hall activities, social events, or other Event activities;
• Unauthorized solicitation, promotion, or distribution of promotional items; and
• Failure to comply with instructions from moderators, PAS event staff, venue personnel, platform personnel, or security.

Participants who are asked to stop hostile, harassing, discriminatory, disruptive, or otherwise unacceptable conduct are expected to comply immediately.

This Code provides general guidelines and does not limit PAS’s ability to address other conduct that PAS determines, in its discretion, is inconsistent with the purpose or expectations of the Event.

Reporting a Violation
Violations of this Code of Conduct Policy should be reported immediately.

Any Event Participant who experiences, witnesses, or becomes aware of a violation during the Event should contact a PAS team member, venue security, platform personnel, or other appropriate Event personnel. Event Participants should also alert appropriate personnel if they become aware of a dangerous situation or if anyone appears to be in distress.

Participants who feel physically unsafe or believe a crime has been committed should contact local police immediately.

To report a Code of Conduct violation onsite DURING the Event:

• Visit the Code of Conduct form, which will collect and promptly relay information confidentially and sensitively.

Complaints may be raised during or after any PAS event. Allegations regarding misconduct by participants are taken very seriously. PAS encourages prompt reporting of violations so immediate action can be taken to address the concern. Reports may not be submitted anonymously, as that would preclude adequate follow-up action.

Procedures Regarding Reported Violations:

During the PAS Event

• Once an allegation is received, the incident will be reviewed promptly by the PAS Chief Meeting Officer and members of a PAS Advisory Group, comprised of the members of the Program Committee Leadership Team.
• Based on this initial information, the complainant will be interviewed promptly by the PAS Chief Meeting Officer. The complainant will be asked to provide their preferred resolution.
• Note: if any of the above individuals are named in an allegation, they may be excluded from any review actions.
• Based on the sole assessment of the PAS Chief Meeting Officer, and the PAS Advisory Group comprised of the members of the Program Committee Leadership Team, in consultation with legal counsel, as needed, PAS may enact a range of next steps, up to and including immediate expulsion from a session, event, or the Event, without prior warning or refund. PAS reserves the right to remove any participant whose social attentions become unwelcome to another and who persists in such attentions after their unwelcome nature has been communicated. PAS also reserves the right to remove any participant who appears inebriated or who engages in conduct that interferes with the ability of other participants to participate in and enjoy the Event.

After a PAS Event

• If PAS, in its sole determination, concludes the allegation requires further review or scrutiny, the PAS Chief Meeting Officer and an Advisory Group member will raise the complaint with the alleged offender, who will be given a chance to respond.
• Other individuals may be contacted to provide information. Participants are expected to cooperate with PAS information gathering related to a reported violation of this Code of Conduct Policy by providing the information requested by PAS that is relevant.
• Action will be taken by the PAS Board based on its assessment of the level of misconduct.
• PAS may, in its reasonable judgment, refer the allegation to venue or platform security personnel or to the alleged offender’s home institution (Office of Research Integrity or similar), employer, licensing board, or law enforcement for investigation and decision.
• If PAS, in its reasonable judgment, determines an individual has violated this Code of Conduct Policy, PAS may bar the individual from participation in future PAS events.
• PAS will report on the outcome of any investigation to individuals who have reported a violation of this Code of Conduct Policy.

Consequences of Violations
PAS may take any action it deems appropriate in response to a violation of this Event Code of Conduct, including, without limitation, warning the participant, removing the participant from a session or activity, denying access to Event platforms or venues, expelling the participant from the Event without refund, and/or prohibiting the participant from attending future PAS activities.

PAS Statement: The Pediatric Academic Societies (PAS) leadership and staff are committed to ensuring diversity, equity, and inclusion in all aspects of the PAS Meeting and related activities. PAS is committed to providing a safe environment that welcomes the respectful expression of diverse opinions and perspectives and is open to collegial, energetic debate and dialogue.

PAS Goals: PAS is committed to

  1. A program selected on the basis of scientific, scholarly, and educational merit in support of our mission: Connecting the global academic pediatric community to advance scientific discovery and promote innovation in child and adolescent health.
  2. Building and operationalizing an understanding of DEI in all aspects of PAS, including program content, participants, committees, leadership, and staff, through data collection, impact assessment, and continuous process improvement, under the leadership of the PAS DEI Committee.
  3. A safe environment that welcomes respectful expression of diverse opinions and perspectives that is open to collegial, energetic debate and dialogue.
  4. All Submitters are expected to give proactive attention to DEI in the planning of session content and presenters. 
  5. Under the leadership of the DEI Committee, PAS will collect and analyze DEI data from PAS presenters, attendees, leadership, and staff and will use this data to identify opportunities for impactful DEI improvements.

Intellectual Property Policy

Intellectual Property Policy

The purpose of this policy is to specify the guidelines adopted by PAS regarding the use of PAS intellectual property. For purposes of this policy, “Member Organizations” are defined as the following: American Academy of Pediatrics, Academic Pediatric Association, American Pediatric Society, and Society for Pediatric Research. “PAS Directors” are those individuals appointed by a Member Organization to the PAS Board of Directors (“PAS Board”).

Nothing in this policy is intended to restrict the use of Intellectual Property by the persons who are the owners of the Intellectual Property, their licensees, or assignees. These owners may use their Intellectual Property or licensee or assign other uses as they deem appropriate, including reproduction, adaptation, publication, performance, and display, without any prior approval or notice to the PAS.

Through events and other means PAS provides valuable information and educational materials for PAS community members in the pediatric healthcare profession.  This information and educational material includes program guides, submissions, session materials, presentations, recordings, data, photographs, displays, signage, and images (collectively “Intellectual Property”) which may be owned by PAS, speakers, licensors, or other providers. This Intellectual Property is protected by the United States and international copyright, trademark, patent, trade secret, and other intellectual property or proprietary rights laws.

The owners of this Intellectual Property exercise full rights over its usage.  The PAS Code of Conduct and PAS Terms of Use provide guidance for conduct related to the use of Intellectual Property, including social media activity and conduct during PAS sessions. Agreement to these stipulations is required of all participants in PAS events. These stipulations permit and encourage the open exchange of ideas and information that is essential to the advancement of scholarship and research core to the PAS vision.

The above notwithstanding, unless PAS Directors, staff, committee members, reviewers, moderators, presenters, volunteers, event participants, supporting staff and other PAS community members are the Intellectual Property owners, individuals may not:

  • Reproduce, distribute, modify, or create derivative works of the Intellectual Property
  • Publicly display, publicly perform, republish, download, store, or transmit any Intellectual Property
  • Use any illustrations, photographs, video or audio sequences, or any graphics separately from the accompanying text in the Intellectual Property
  • Delete or alter any copyright, trademark, or other proprietary rights notices from copies of materials from the Intellectual Property

 Any proposed use of Intellectual Property by persons other than the owner of the Intellectual Property, their licensees, or assignees must be pre-approved by PAS in writing. Requests should be sent by email to info@pasmeeting.org to the attention of the PAS Executive Director.

For any educational programs or poster sessions, presenters or authors, as applicable, are responsible for placing the correct PAS-provided icon on each slide or poster. Important: Event Participants must take note of what icon is listed on each slide.

  • The PAS Share icon indicates the presenter or author authorizes only INDIVIDUAL slides or posters to be photographed, recorded, and potentially shared on various web and social media platforms. Event Participants may share individual slides or posters on social media, blogs, or other platforms, but must include the author’s full name and institution, and comply with any other restrictions stated by PAS.

  • The PAS Do Not Share icon means photographing, recording, capturing, publication, distribution, or sharing is not permitted.

If no icon is shown, photographing, recording, capturing, publishing, distributing, and sharing are not permitted.

Regardless of whether a PAS Share icon is displayed, except as expressly authorized by PAS or permitted under the PAS Share/Do Not Share Policy, Event Participants are prohibited from recording, photographing, screen capturing, livestreaming, broadcasting, or otherwise capturing ENTIRE presentations or sessions. The PAS Share icon permits the capture of individual slides or posters only and does not authorize the recording or distribution of an entire presentation or session.

Event Participants may not publish, post, distribute, reproduce, transmit, sell, or otherwise publicly disseminate Event content or recordings in any format without the prior written permission of PAS and, where applicable, the presenter or copyright owner.

Official photographs will be taken at the PAS Meeting. By registering for this meeting, you agree to allow PAS to use your photo in any PAS-related publications, including the PAS website.

Except as provided below, PAS encourages all of its members and event attendees to participate in public discussions through social networking including but not limited to social networking sites such as Facebook, Twitter, and LinkedIn, as well as blogs. At the same time, PAS expects that such individuals will make statements that are in the best interests of PAS and will not engage in any inappropriate statements or statements that would be detrimental to the PAS as a whole. PAS retains the right to take appropriate action to remove any content or postings it determines are contrary to PAS’s interests. We remind you to adhere to PAS’ social media do’s and don’ts:

Do:

  • Pay close attention to all PAS Policies: Individual Slide/Poster Photography/Video and Video and Audio Recordings of Entire Sessions.
  • Look for the “Share” or “Do Not Share” icon on each slide during presentations and sessions.
  • Follow PAS on X (@PASMeeting) and use the hashtag #PAS2026 to join the conversation about the meeting.
  • Like us on Facebook.
  • Blog or tweet about what you hear and learn at the meeting, but refrain from sharing when the speaker explicitly asks not to share. Talks are tweetable and shareable by default, but speakers can ask that attendees not share specific details or slides.
  • Converse and network with other attendees before, during, and after the conference.
  • Provide feedback to staff and the committee members – we encourage attendees to post about and discuss topics of interest and ideas for future annual meetings.
  • Communicate with respect and consideration for others, and keep criticism constructive.

Don’t:

  • Capture, transmit, or redistribute data presented at the meeting if there is a no-share icon or no icon at all – this may preclude its later publication in a scientific journal. Please adhere to the embargo policies and do not jeopardize your colleagues’ work!
  • Post copyrighted or trademarked material, or material protected by other intellectual property rights.
  • Use PAS’ social media platforms to comment on medical, legal, or litigious matters.
  • Post derogatory, demeaning, inflammatory, offensive, disrespectful, hateful, sales-oriented, or otherwise inappropriate comments.

People who participate in social media activity associated with the meeting are expected to:

  • Maintain a courteous and respectful demeanor in their comments and posts.
  • Contribute value and expertise.
  • Represent themselves and their organizations truthfully and professionally.
  • Recognize that social media conversations include professionals, patients, policymakers, reporters, and the general public.

The views and opinions posted on PAS’ social media do not necessarily reflect the views, opinions, or policies of PAS, its leadership, staff, or membership. PAS reserves the right to remove comments it deems, in its sole discretion, to be inappropriate.

Member and Non-Member speakers in PAS Meeting sessions, including PAS Ticketed Events, must register for the PAS Meeting, unless otherwise outlined below. PAS does not pay speaker honoraria.

Member Speakers:

PAS Member Speakers are presenters who are members in good standing (as of August 17, 2026) of AAP (Fellow), APA, APS, PIDS, and SPR.

The PAS Program Committee prioritizes PAS session proposals with Member Speakers.

PAS Member Speakers do not receive complimentary registration and must register for the PAS Meeting.

Non-Member Speakers:

Non-Member Speaker Benefits apply to the following submission format types:

  • Up to two nights lodging at a PAS-contracted hotel. Speakers must book and pay for the reservation, and the receipt must be submitted to PAS by June 2, 2027, for reimbursement.
  • Up to $250 for incidentals. For reimbursement, itemized receipts must be submitted to PAS by June 2, 2027. (See PAS Travel Guidelines for details.)
  • Standard economy air travel to/from the PAS Meeting, only if booked no less than 30 days before the start of the PAS Meeting through the authorized PAS travel agent. (Prior approval is needed for layovers that are non-PAS Meeting related.) If travel is not booked through the authorized PAS travel agent by March 23, 2027, PAS cannot provide standard economy air travel, and the speaker must book and pay for their travel.

Reminders:
If the speaker cannot attend the PAS Meeting after booking a non-transferable ticket, the speaker is responsible for reimbursing PAS for the ticket cost by June 2, 2027.

Speaker Expense forms must be submitted by June 2, 2027, to be eligible for reimbursement. Note: The PAS Program Committee Leadership Team reserved the right to deny non-member speaker benefits.

NOTE: Speaker Benefits only apply to those included in the original submission due September 16, 2026. Benefits are non-transferable. If a speaker receives benefits but is no longer able to come to PAS and speak, it is the session organizer’s responsibility to find a replacement who is already attending PAS to cover the speaking engagement.

PAS Ticketed Events

Up to six complimentary registrations will be offered to PAS Ticketed Event and PAS Ticketed Simulation Workshop speakers. Submitters will enter each speaker’s name during submission to receive complimentary registration. Other speaker benefits do not apply.

PAS Sponsored Clubs

If PAS obtains grant funding for a Club, and the funding amount allows, the PAS Speaker Support Policy for non-member speakers applies.
